The Direct Observation Dashboard is a specialized tool designed to assist administrators in efficiently managing and reporting on student direct observations. This user guide provides a comprehensive overview of the dashboard’s capabilities and how to best use them.
The DO Dashboard is intended to improve upon the existing Qualtrics report process by providing you with easy access to your data, and complete control over your filters.

How do I guide faculty members to set up their CWL accounts?
Share the following steps with faculty members to help them recover their existing CWL accounts or acquire a new one.
Recovering an Existing CWL Account or Password
- To recover your CWL log in or password, visit this link. Please don’t create a new account.
- Follow the instructions to retrieve your CWL log in details or reset your password.
- Once you have recovered your account or password, visit this link to ensure you have multi-factor authentication for enhanced security.
Acquiring a New CWL Account
- To create a new CWL account, visit this site.
- Complete the instructions for a Basic Account.
- Contact MedIT Service Desk and provide your employee ID number (obtained from HR) to verify your account. The verification process takes about 2 business days.

- After your account is verified, visit this link to set up multi-factor authentication for enhanced security.
How do I use the dashboard?
The DO Dashboard makes filtering your data easy, providing many of the filtering options you are used to from Qualtrics, while limiting the amount of information you need to sift through.

Dashboard Overview
Any filters you create can be found in your Saved Filters drop-down. You can also choose to create a new filter.

Filter Options is where you can adjust your filter settings to meet the requirements for your report.

The report area is where the results of your filter will appear, and where you can download those reports directly.

How to Filter

By default, your report will show all the data you have access to. Use the Filter Options to create a new filter.
- Filter Name – This name will only appear for you. Give your filter a relevant name so that you can easily return to it in the future
- Report Title – The title that will appear at the top of your report
- Sites – A list of the sites you have access to
- Rotations – A list of the rotations you have access to
- Select Specific Students – Select specific students you need in your report. This list depends on the sites you have selected. If you change your site selection, your list will reset! Learners on the right will appear in your report if they have DOs that match your filter selection.
How do I download my report?
After filtering the report to suit your requirements, you can download it using the Download Report button. A popup window will provide you with a number of different download formats for your report.

Select the option that best suits your requirements. PDF is the most common option, though if you are adding the data to your own spreadsheets, the CSV and/or Excel options will work for you as well.
I can’t access some of my data!
Are you trying to generate a report, but one of the sites or rotations you should have access to aren’t appearing? Simply contact year3.ceat@ubc.ca to request the access you need.

I need to edit a submitted Direct Observation
Please contact your site’s administrator to request any changes to Direct Observation data.
If you do have DO editing permissions
Designated administrators at each site have the ability to edit DO submissions for their site.
The DO Editor can be found in the left-hand tool-bar, which you can open by clicking the hamburger button in the top-left corner of the application

The DO Editor will show you all individual DO submissions at the sites you are responsible for.
To edit a DO, select the EDIT link in its row. This will open the details of the submission, which you can edit to resolve any errors.

All DO edits are logged and audited, and the original submissions are retained.
